Welcome to EBIS-Pro
EBIS-Pro is a desktop CRM for managing a database of businesses: searching and enriching business records, running sales opportunities through a pipeline, sending bulk email and direct-mail campaigns, building saved smart lists and segments, importing data from spreadsheets, and reporting on all of it.
This documentation covers EBIS-Pro 3.0 (version 3.0.0.0). To see which version you have, open Settings → License.
This guide documents every screen and process in the application, organized the same way as the app's own left-hand sidebar (Overview, Businesses, Services, Reporting, System), plus a Getting Started section covering sign-in, licensing, updates and navigation.
Use the search box at the top of the sidebar to jump straight to any topic, or browse the sections on the left. Each page mirrors the actual on-screen labels and buttons in EBIS-Pro, so what you read here should match what you see on screen.

Single-user, local data
EBIS-Pro's database lives only on the computer it's installed on, under the Windows user profile that installed it. Installing it on another computer (or for another Windows user) creates a completely separate, unconnected copy — there's no shared or networked data store, so two people can't work against the same live data from different computers at the same time.
Signing In
The sign-in window appears when you launch EBIS-Pro (unless already signed in). It also reappears after signing out (Ctrl+L).
First-time setup
If no users exist yet, the window shows "Create the first admin account to get started" instead of a normal sign-in prompt, and includes extra fields: - Full Name - Username - Password - Confirm Password
The main button reads Create Admin Account in this case. This first account you create becomes an Administrator.
Normal sign-in
Once at least one account exists, the window shows "Sign in to continue" with just: - Username - Password
and the main button reads Sign In.
If your credentials are incorrect (or another sign-in problem occurs), an error message appears in the window explaining what went wrong.
- Cancel — Closes the sign-in window, which exits EBIS-Pro entirely (there's no way to use the app without signing in).
- Sign In / Create Admin Account — Submits your credentials. On success, the main app opens.
Pressing Escape at this window has the same effect as clicking Cancel — it exits the app.
Licensing
EBIS-Pro requires an active license to run. If no valid license is found, the Activation window appears at launch with the message "Activate your license to continue."
- License Key — Paste your license key into this box.
- Activate — Submits the key for activation. A status message reports success or failure; failed activation is shown in a warning color.
- If activation fails, the window also shows your Software version and the License Key you entered — exactly the information support will need to help you, without having to hunt for it yourself.
- "Don't have a license yet?" — A note explaining: "Contact us to purchase one, then paste the license key you receive above."
- Exit — Closes the window, which exits EBIS-Pro (there is no way to use the app without an active license).
A license key only works in the edition it was bought for: an EBIS-Pro key activates EBIS-Pro, not another edition. If you enter a key for a different edition, activation is refused with a message naming the edition the key belongs to.
Once activated, you can view your active license key and activate a replacement or additional key at any time from Settings → License without needing to go through this activation window again.
Moving to a New Computer
Each license works on one computer at a time. If you try to activate a key that's still active on another computer, activation fails with a message explaining how to move it. There are two ways to move your license, and both keep the same license key.
Your data doesn't move with the license. Your businesses, notes, documents and settings live only on the old computer. Make a Full Backup there (Settings → Backup & Restore) and restore it on the new computer, or you'll start with an empty database.
If the old computer still works (recommended)
- On the old computer, open Settings → License and click Move to Another Computer...
- EBIS-Pro offers to make a Full Backup first. Click Yes, choose where to save the zip file, and copy that file to the new computer (USB drive, cloud storage, etc.).
- Confirm the move. EBIS-Pro releases the license, shows your license key, and closes. It won't open on this computer again unless you re-activate a license there.
- On the new computer, install EBIS-Pro, enter the same license key in the Activation window, then restore the backup: Settings → Backup & Restore → Restore Full Backup.
The old computer needs an internet connection for this. If it can't reach the license server, nothing changes and you can try again later.
If the old computer is lost, broken or wiped
- Open the Move your license page on the license website (
/license/move; there's also a link at the bottom of the Buy page). - Enter your license key and the email address the license was purchased under, then click Email me a link.
- Open the email and click Move my license, then confirm on the page that opens. The link works once and expires after 24 hours.
- On the new computer, install EBIS-Pro and enter the same license key. Restore your most recent Full Backup if you have one.
If the old computer ever comes back online, EBIS-Pro stops working there at its next license check.
Limits
- A license can be moved 3 times in any 12 months. After that, contact us and we'll move it for you.
- After every move, a confirmation email is sent to the purchase address. If you didn't make the move, reply to it right away.
- A license that has been permanently deactivated can't be moved.
New versions of EBIS-Pro are announced by a banner at the top of the app — see Updates.
Updates
EBIS-Pro tells you when a newer version is available, so you don't have to remember to check for one yourself.
How the update check works
- Each time EBIS-Pro starts, it quietly asks the EBIS-Pro server whether a newer version of EBIS-Pro has been released and compares it with the version you're running. It only ever looks at releases for your own edition.
- At the same time it checks whether a paid upgrade to a newer major version is available for your license (see below).
- The check runs in the background. It never delays startup, never interrupts what you're doing, and never shows an error. If you're offline, the server can't be reached, or no newer version exists, nothing appears at all.
- The check happens once per app launch. If a new version is released while EBIS-Pro is open, you'll see the banner the next time you start the app.
The update banner
When a newer version is found, a banner appears across the top of the main window, above whichever page you're on. It reads, for example: "EBIS-Pro 3.1.0.0 is available -- you're on 3.0.0.0."
- What's new — Opens the release notes for the new version in your web browser, so you can see what's changed before you update.
- Download — Opens the EBIS-Pro download page in your web browser. That page shows the latest version, system requirements, and the Download button for the new installer.
- Upgrade license — Shown when the new version is a major version your license doesn't cover (for example version 4.0 when your license covers 3.x), or when a paid upgrade is available for your license even before a new version is downloadable. It copies your license key and opens the upgrade section of the buy page, the same as Settings → License → Upgrade.... Buy the upgrade first, then install the new version; your existing key keeps working.
- ✕ — Hides the banner for the rest of this session. It comes back the next time you start EBIS-Pro, as long as you're still on the older version.
The banner only takes up space while it's showing. It doesn't change the sidebar, status bar, or any page's layout.
What's new after updating
The first time you start EBIS-Pro after installing an update, a What's new window lists the changes in the version you're now on. Close it to carry on. It appears once per update, and not at all on a brand new installation or when there are no notes for that version.

Messages from Endorse On
From time to time a second banner may appear at the top of the app with a short notice for everyone using your edition -- for example planned maintenance or news about an upcoming version. Its colour shows how important it is: blue for information, amber for a warning, red for something important.
- Learn more (or similar) — Some messages include a button that opens a related web page, such as release notes, in your browser.
- ✕ — Closes the message. It stays closed, even after restarting EBIS-Pro, until a new or changed message is posted.
Some messages only apply for a set period, such as the day of a maintenance window. EBIS-Pro checks for messages when it starts and again every hour while it's open, so these appear when they begin and disappear as soon as they expire, with no restart needed.
Installing the update
- Close EBIS-Pro.
- Run the installer you downloaded. It installs over your current copy — no administrator permission is needed.
- Start EBIS-Pro again. The banner no longer appears once you're on the latest version, and your version number is shown in Settings → License.
Your businesses, CRM history, settings, and backups are stored separately from the program itself, so installing an update doesn't touch them. Your existing license keeps working too, unless the new release is a major version your license doesn't cover (see Licensing).
Tip: Before a major update, it's a good habit to run Settings → Backup & Restore → Backup Now (or a Full Backup) first, just in case.
Dashboard
The Dashboard is your CRM home page: a snapshot of pipeline health, follow-up priorities, and recent activity, all in one place.
Getting there: open the Dashboard page (also reachable via the Command Palette or Ctrl+1) — it's typically the first thing you see when you launch EBIS-Pro.
What's on the screen
Header
- "Professional CRM Dashboard" title with a one-line description of what the page covers.
- A "last refreshed" timestamp.
- Refresh Dashboard button — reloads all figures and lists on the page.
KPI cards (auto-arranged in rows depending on your window width): - Open Opportunities — count of active sales opportunities. - Pipeline Value — total value of all open deals. - Weighted Pipeline — pipeline value adjusted by each deal's win probability. - Forecast (next N days) — weighted expected closes within a configurable window; you can type a different number of days directly into the small box on this card to change the forecast window. - Win Rate — percentage of decided deals that were won. - Average Won Deal — average value of closed-won deals. - Stalled Deals — count of open deals with no update for at least a configurable number of days (type a different threshold directly into the card). - Overdue Activities — count of overdue tasks/activities, with a note of how many are due today.
Pipeline by Stage (left column) — a table listing each pipeline stage with its Deals count, total Value, and Weighted value.
At-Risk and Stalled Opportunities (left column) — a table of open deals that are overdue or haven't been updated for at least the "stalled" threshold set on the KPI card above. Each row shows: - Opportunity, Reason (a colored tag: At-Risk, Stalled, or At-Risk + Stalled), Business, Stage, Owner, Value, Days Idle, Expected Close. - Double-click a row (or select it and press Enter) to open that opportunity. - Standard paging controls (First/Back/Next/Last, "go to page," and an Entries per page selector) below the table.
Overdue Follow-ups (right column) — a list of overdue tasks/activities, each showing its subject, related business, due date, and owner. Double-click an entry to open it. Includes the same paging and entries-per-page controls.
Next 7 Days Follow-ups (right column) — the same style of list, for tasks/activities due in the coming week.
Recent CRM Activity (right column) — a feed of recent activity entries (subject, timestamp, related business, and a short description), also with paging controls.
A status line at the very bottom of the page shows the overall dashboard load status.
How to use it
- Land on or navigate to the Dashboard to get an at-a-glance view of pipeline health and what needs attention.
- Adjust the Forecast window or Stalled Deals threshold directly in their KPI cards if you want to see numbers over a different time horizon.
- Scan At-Risk and Stalled Opportunities for deals that need a nudge, and Overdue Follow-ups for tasks that are already late.
- Double-click any opportunity or follow-up entry to jump straight to its record.
- Click Refresh Dashboard any time to pull the latest numbers.
Business Explorer
The Smart Business Explorer is the main hub for finding, reviewing, and managing every business record in EBIS-Pro. It combines a keyword/field search, a set of precision filters, reusable saved views, bulk actions on multiple records at once, and CSV/Excel export.
Page layout
At the top of the page, four summary cards give an at-a-glance snapshot of your database:

Below the summary cards is the Smart Search & Filters bar, then a toolbar for saved views/export/bulk actions, then the results grid with a Quick Preview panel on the right, and finally a paging bar at the bottom.
Smart Search & Filters
This bar lets you narrow the business list using any combination of the following fields:
- Search everything... – a free-text box that searches name, address, phone, email, website, industry, NAICS code, status and source in one go.
- City – filters to a specific city.
- Province – filters to a specific province.
- Status – filters by Business or CRM status text.
- Category – filters by business category.
- Source – filters by where the record originally came from.
- Data Quality dropdown – filters by how complete each record's contact information is. Options are:
- All records
- Complete contact – has email, phone, and website
- Missing any contact – missing at least one of email/phone/website
- Missing email
- Missing phone
- Missing website
- Having email
- Having phone
- Having website
Buttons:
- Search – runs the search using whatever is currently typed/selected.
- Clear – resets every filter (including Data Quality back to "All records") and reloads the full list.
- Refresh – reruns the current search, useful after data has changed elsewhere.
You don't strictly need to click Search — typing in any filter box automatically re-searches a moment after you stop typing. The Search button is there for convenience.
The results area automatically caps at a maximum number of records (configurable in Settings). If your filter matches more than that, a Load More banner appears above the paging bar telling you how many businesses match in total and how many are currently loaded, with a Load More button to pull in the next batch without losing your place.
Saved Views
Saved views let you store a combination of filters for one-click reuse later.
- Saved view picker (dropdown) – choose a previously saved view.
- Apply View – applies the selected saved view's filters and re-searches.
- Save View – saves your current filter combination as a new view, named after your search text (or "Smart View N" if search text is blank).
- Delete View – removes the selected saved view. Note: built-in views cannot be deleted.
EBIS-Pro ships with five built-in views you can always use: - All Businesses - Ontario Businesses (Province = ON) - New CRM Leads (Status = New) - Missing Email (Data Quality = Missing email) - Contact Ready (Data Quality = Complete contact)
The results grid
Each row represents one business and shows: Select (checkbox), Business, City, Province, Postal Code, Phone, Email, Website, Category, Industry, CRM status, Status, and Source. Columns can be sorted by clicking their headers, and the Business column stays frozen (visible) while you scroll horizontally through the rest.
- Double-click a row (or select it and click Open Full Profile) to open that business's full profile.
- Right-click a row to open a context menu with quick actions. Right-clicking an unchecked row selects only that row; right-clicking a row that's already checked keeps your current multi-selection intact.
Quick Preview panel: selecting a row (via its checkbox or by clicking it) fills the Quick Preview panel on the right with that business's name, status, address, contact details (phone/email/website), and classification (category/industry/source). Click Open Full Profile to jump straight to the Business Profile page for that record. You can drag the divider between the grid and Quick Preview to resize either panel.
Selecting businesses
- Check the Select box on any row(s) you want to act on in bulk.
- Select All on Page selects every row currently visible on the page (the button relabels to Clear All on Page once everything on the page is checked, letting you toggle it off).
- Clear Selection unchecks everything.
- A status line above the grid ("No businesses selected", "1 business selected: X", or "N businesses selected") always shows your current selection count.
Selection is per-page — selecting rows, changing pages, then coming back does not automatically re-check rows on other pages, but any bulk action you already performed is preserved after the grid refreshes.
Exporting
Two export menus are available in the toolbar (and also from the grid's right-click menu):
- Export Results – exports every record matching your current filters (not just what's on-screen) to Export to CSV or Export to Excel.
- Export Selected (N) – exports only the checked/selected businesses, again as Export to CSV or Export to Excel. This button shows the live count of selected records in its label.
Exported files are saved to your configured export folder (Settings → Export Location; defaults to Desktop\EBIS-Exports), timestamped, and a confirmation dialog tells you the exact file path once the export finishes.
Bulk actions
With one or more businesses selected, the following actions become available (from the toolbar or the grid's right-click menu):
- + New Business – opens a blank profile to create a new business record. The Country field starts blank; fill it in if you use country in your filters and reports.
- Bulk Edit... – opens the Bulk Edit Businesses window to change one or more fields across all selected businesses at once.
- Send Bulk Email... – opens an email compose window addressed to all selected businesses.
- Send Direct Mail... – starts a direct-mail merge for the selected businesses. This button is only visible to Administrator accounts.
- CRM Status menu – instantly sets the CRM Status for every selected business to one of: New, Contacted, Qualified, Proposal Sent, Customer, Lost.
- Business Status menu – instantly sets the Business Status for every selected business to one of: Active, Inactive, Suspended, Closed.
- Delete – permanently deletes the selected businesses after a confirmation prompt. Note: you can only delete businesses you created yourself, unless you're an Administrator; if some selected records were created by other users, they're automatically skipped and you're told how many were skipped.
Changing CRM Status and Business Status are independent — changing one never affects the other.
Bulk Edit Businesses window
Opened via Bulk Edit..., this window lists every editable field with a checkbox next to it:
Category, Industry, Source, City, Province, Phone, Email, Website, CRM Status, Business Status, Opportunity Value, Country, Contact Person, Mobile No., Fax No., Other 1, Other 2, Other 3.
Only the fields you check are changed — every other field is left untouched on the selected businesses. Important: if you check a field but leave its value blank, that field will be cleared on every selected business, so leave a field's checkbox unchecked if you don't want to touch it. Click Apply Changes to save, or Cancel to discard.
Send Bulk Email / Send Email window
The Send Email window (used both for a single business via the grid's Send Email... action, and for Send Bulk Email... on a multi-selection) lets you: - Pick an optional Email Template from a dropdown to prefill subject/body. - Enter a Subject. - Write the Body (HTML) in the text box. - Use the Insert merge-field buttons (Business Name, Contact Person, City, Phone, Website) to drop placeholder tokens into the subject/body that get replaced per-recipient when sent. - Click Send Email to send, or Cancel to close without sending. A status line reports send progress/results.
Paging
- Previous / Next move one page at a time.
- Go to page – type a page number and press Enter (or click Go) to jump directly; out-of-range values are automatically clamped to the nearest valid page.
- Rows per page – choose 25, 50, 100, or 250 rows per page.
- The page indicator (e.g. "Page 2 of 5") is shown between the paging controls.
Business Profile
The Business Profile page is the full detail view for a single business record, reached by opening a business from the Explorer grid or Quick Preview. It's organized into a header, a collapsible Key Metrics bar, and a set of tabs.
Header
Shows the business name, category, and address, plus a status message. Action buttons: - Delete Business – permanently deletes this record after confirmation. - Send Email – opens the Send Email window addressed to this business. - Edit Business – switches the Overview tab into edit mode (visibility depends on your permissions). - Back – returns to the Business Explorer.
Key Metrics
Click the Key Metrics toggle to expand or collapse four summary cards: - Lead Score – the business's calculated lead score and rating. - Completeness – how complete the profile's data is (a percentage-based quality score). - Open Follow-ups – count of pending follow-up actions. - Overdue – count of follow-ups past their due date.
Overview tab
View mode shows three panels: - Business Summary – contact info, status, opportunity value, and source. - Lead Intelligence – a lead summary and a note of any missing data that's hurting the record's score. - Business Details – a full read-only grid of every field on the record: Address, City, Province, Postal Code, Phone, Email, Website (with an Open button to launch it in your browser), Category, Industry, Contact Person, Mobile No., Fax No., Other 1–3, Country, Business Number, Corporation Number, plus the Social Media fields (see below) for any that are filled in.
Edit mode (click Edit Business) turns the details panel into editable fields covering all of the above, plus: - Category and Industry fields offer autocomplete suggestions drawn from values already used elsewhere in the database as you type. - Status and CRM Status dropdowns, and an Opportunity Value field. - Save Changes commits your edits; Cancel discards them and returns to view mode.
Social Media fields
Nine optional fields for a business's social presence, edited the same way as any other Business Details field: YouTube, Facebook, WhatsApp, Instagram, X (Twitter), LinkedIn, TikTok, WeChat, and Threads. Each accepts a handle or a full profile URL, whichever you have on hand. Leave any of them blank if you don't have that value — they're entirely optional. All nine are also available as filter fields in Advanced Segmentation and Smart Lists, and can be mapped to when importing a CSV or Excel file.
Timeline tab
A chronological, read-only activity log for the business (calls, emails, status changes, notes added, etc.). Use the Activity Type dropdown to filter the list to a specific kind of activity. Columns: Type, Title, Description, Created By, Created (date/time). Double-click a row for more detail.
Notes tab
- Type into the note box and click Save Note to add a new note to the business.
- Existing notes are listed below with Note text, Created By, and Created date/time.
- Each note row has Edit and Delete buttons. Edit opens the Edit Note window where you can revise the note text and click Save Changes (or Cancel).
Follow-ups tab
- Add a new follow-up directly from the inline row at the top: choose a Type, enter a Subject, pick a Due Date, add a Description, then click Add Follow-up.
- The grid below lists all follow-ups for this business: Type, Subject, Description, Due date, and Status.
- Each row has Edit and Complete buttons.
- Edit opens the Edit Follow-up window, where you can change the Type, Due Date, Subject, and Description, then click Save Changes (or Cancel).
- Complete marks the follow-up as done.
Docs tab
- To upload a file: choose a Category (for upload), optionally add a Description, then click Upload Document... and select the file.
- Use Filter by category and the Search documents... box (searches file name and description) to find existing documents.
- The grid lists File Name, Description, Category, and Uploaded date/time, with Open and Delete actions on each row. Double-click a row to open the document directly.
Opportunities tab
- Four summary cards at the top show Open opportunity count, Pipeline Value, Weighted pipeline value, and Next Close date.
- Actions: New Opportunity (create one), Edit (edit the selected opportunity), Mark Won, Mark Lost, and Delete — all operate on the currently selected row (double-clicking a row also opens it for editing).
- The grid lists: Opportunity name, Type, Stage, Status, Value, Probability (%), Expected Close date, and Owner.
Business Search
The Search page gives you a quick, dedicated way to find businesses by keyword, separate from Business Explorer's fuller set of filters.
Getting there: Open the Business Search page.
What's on the screen
- Business Search header.
- A search box (placeholder "Search businesses...") where you can type any part of a business name, or other searchable details.
- A Search button that runs the query against your current search text.
- A results table showing matched businesses, including columns such as Business Name, City, Province, Postal Code, Phone, Website, Industry, Lead Score, Status, and Potential Revenue.
How to use it
- Type a search term into the search box.
- Click Search (either the button under the search box or the one alongside the results area — both run the same search).
- Review matches in the results table below.
Import Wizard
The Import Wizard is the guided, 7-step process for bringing business records from a CSV or Excel file into EBIS-Pro. You can launch it from Data Studio using the Start CSV Import or Start Excel Import buttons (or the matching Import CSV / Import Excel buttons under Quick Actions).
A step tracker at the top of the wizard (File → Preview → Mapping → Validation → File Duplicates → Existing Matches → Import) shows where you are and marks completed steps. If you need more screen space on a busy step, click ▲ Collapse in the top-right corner to hide the title/status area (click ▼ Expand to bring it back — the "Import Wizard" title itself always stays visible).
Back and the primary action button (Next, or Finish Import on the last step) sit in a footer that stays fixed at the bottom of the wizard. Only the step's own content scrolls, so the buttons are always visible no matter how long a step's table or list is. The step tracker at the top stays in place too, and each new step opens scrolled to the top.
If a step is processing a large file, a loading overlay appears with a Cancel button — use it if you need to back out of a long-running operation (some steps can legitimately take several minutes on a large file) instead of force-closing the app.
Step 1: Select File
- Drag and drop a file onto the Drop file here zone, or click Browse to open a file picker.
- CSV and Excel (.xlsx) files are supported for import. Choosing any other file type shows an "Unsupported File Type" message and blocks you from continuing.
- Click Clear to remove the selected file and start over.
- Once a valid file is chosen, EBIS-Pro inspects it and displays:
- File name and path
- Type (CSV or Excel) and Size
- Modified date
- A status line with the delimiter detected, estimated row count, and column count (for CSV files)
- Size limit: Each CSV import is capped at a maximum number of records (10,000 by default). Files over the limit are rejected immediately, before any processing begins, with a message asking you to split the file into smaller batches. This limit is configurable by an administrator in Settings → CSV Import Size Limit; raising it does not make matching faster, it only allows larger files through, so it's best left alone unless your computer is fast enough to handle the extra load.
- Click Next (or Choose a Different File if you want to swap files) once your file is ready.
Step 2: Preview Data
Shows the raw contents of your file exactly as it will be read, before any mapping is applied.
- A read-only grid displays the file's columns and rows.
- Because large files can have far more rows than fit on screen, the preview is paginated with a navigation bar underneath the grid:
- First / Back / Next / Last buttons to move between pages
- A Go to box to jump straight to a specific page
- A Show dropdown to choose how many rows appear per page: 5, 10, 25, 50, 100, 250, or 500 (defaults to 10)
- Review the preview to confirm the file looks correct, then click Next to move to column mapping.
Step 3: Map Columns
This step matches each column in your source file to a field in EBIS-Pro.
- The Column Mapping grid lists one row per source column, with:
- Source Column — the column name from your file (read-only)
- Mapped EBIS Field — a dropdown of destination fields; EBIS-Pro pre-fills this automatically where it can find a confident match
- Confidence — how sure the automatic match is
- Auto — checked if the mapping was chosen automatically rather than by hand
- Review — flags mappings worth double-checking
- To change a mapping, click into the Mapped EBIS Field cell and choose a different field from the dropdown, or choose -- Skip this column -- to leave that source column out of the import entirely.
- The grid shows roughly 7–8 rows at a time with its own internal scrollbar, so wide files with many columns stay easy to scroll through without pushing the rest of the page out of view.
- Available EBIS fields you can map to: Business Name, Street Address, City, Province, Postal Code, Phone, Email, Website, Industry, Registration Date, Business Number, Corporation Number, Country, Contact Person, Mobile No., Fax No., Other 1, Other 2, Other 3, and the nine Social Media fields (YouTube, Facebook, WhatsApp, Instagram, X (Twitter), LinkedIn, TikTok, WeChat, Threads).
- Apply a saved mapping template — pick a previously saved template from the dropdown and click Apply Template to fill in the mapping automatically (matched by source column name). Select a template and click Delete to remove it permanently.
- Save this mapping as a reusable template — type a name (e.g. "Standard Vendor Export") and click Save as Template to reuse this exact mapping on future imports of similarly formatted files. If a template with that name already exists, you'll be asked to confirm overwriting it. Saving is blocked if two source columns are mapped to the same EBIS field — fix the conflict first.
- Important: Duplicate detection (both within the file and against your existing database) does not run when the file is first loaded — it runs once you click Next here, after your final column choices are applied. This is also the point where the full file is re-processed against your mapping, so mapping changes only take effect when you advance past this step.
Step 4: Validate Data
Shows the results of running your mapped data through EBIS-Pro's validation rules.
- Two summary cards show Records (total rows read) and Issues (total validation problems found).
- A table lists every issue found, with columns for Row, Severity, Field, and Message, so you can see exactly what's wrong and where.
- Records with errors are excluded from the import later, but you can still proceed — click Next to continue to duplicate review.
Step 5: Review File Duplicates
Checks for records that appear more than once within the file you're importing (before comparing anything to your existing database).
- Summary cards show Groups (sets of duplicate rows), Rows (total duplicate rows found), Undecided (rows with no decision yet; these are imported) and Skipped (rows that will be left out of the import).
- The table lists each duplicate row with its Group, Row number, Business, Phone, Email, Website, City and Decision, and is paginated the same way as the Step 2 preview (First/Back/Next/Last, Go to page, Show per-page count).
- Use the Decision dropdown on each row to choose:
- Import: the row is imported.
- Skip: the row is left out of the import, so the duplicate never reaches your database.
- Undecided: no choice made yet. Undecided rows are imported.
- A row can match others in more than one way (for example the same phone and the same email). Its decision is the same in every group it appears in, so changing it once updates them all.
- Keep First, Skip Others is the quickest way to prevent duplicates: in every group, the first row in the file is imported and the rest are skipped.
- Import All sets every duplicate row to Import.
- Clear Decisions resets every row back to Undecided.
- These buttons act on every duplicate row in the file, regardless of which page is currently showing.
- Skipped rows are counted under Skipped on Step 7.
Step 6: Review Existing Matches
Compares your incoming records against businesses already in the EBIS database and lets you decide, one match at a time, what should happen.
- Summary cards show Matches (total candidates found), Strong (98%+ confidence), Review (85–97% confidence), and Undecided.
- Merge Strong Matches automatically sets the decision to "Merge" for every strong (98%+) match.
- Create Weak Matches and Clear Decisions are also available to bulk-act on matches.
- A navigation bar lets you move through matches one at a time with ◀ Back / Next ▶, shows your current position (e.g. "Record 3 of 40"), and includes a Go to record box to jump directly to a specific match number.
- For the match currently on screen, a detail card shows:
- The incoming record's name, match score, confidence, and a plain-language recommendation
- Incoming CSV Record — the details as they appear in your file
- Existing Business Profile — the matching record already in EBIS-Pro
- A Decision dropdown (e.g. Merge, Update Existing, Create New, Ignore)
- An Update Strategy dropdown controlling how the existing record's fields are affected (Replace with Incoming Values, or Fill Blank Existing Fields Only)
- A Use Recommended button to accept EBIS-Pro's suggested decision instantly
- If there are no existing-business matches to review, the page simply shows "No existing-business matches to review."
Step 7: Import
The final step, where records are actually written to the EBIS-Pro database.
- Four cards summarize the outcome: Ready (valid records that will import), Blocked (rows with errors, which are skipped), Imported (successfully saved), and Skipped (not imported).
- The Final Import Confirmation card reminds you that all mapping, validation, and duplicate decisions are now locked in, and that clicking Finish Import (bottom-right of the wizard) is the only action that actually saves records to the EBIS database.
- A progress bar and status message track the import as it runs.
- Once the import finishes, the button changes to Done — click it to return to Data Studio.
- If nothing can be saved, for example because every row was blocked by validation errors, Finish Import still finishes the import. A message confirms that 0 records were saved and how many were blocked, and the button changes to Done.
- Click Import Another CSV to reset the wizard and immediately start a new import session without leaving the page.
Data Studio
Data Studio is the command center for imports — it shows your import history, recent activity, key metrics, saved mapping templates, and gives you quick access to start a new import.
Header and key metrics
- Start CSV Import / Start Excel Import — opens the Import Wizard with the matching file type expected.
- Refresh — reloads all of the data on the page (sessions, templates, activity, and the metric cards) from the database.
- Four metric cards summarize your overall EBIS-Pro activity:
- Import Sessions — total number of tracked import sessions
- Total Records — total records processed across all imports
- Templates — number of saved mapping templates
- Data Quality — an overall validation quality score
Import Sessions
A history of every import you've run, pulled from the local database.
- Table columns: Session, Type, Records, Warnings, Errors, Duplicates, Status.
- Paginated with First / Back / Next / Last buttons, a Page box to jump directly to a page, and an Entries per page dropdown (5, 10, 20, 50, or 100, defaulting to 5).
Recent Activity
A running feed of what's happened recently — completed import sessions and newly saved mapping templates — each shown with an icon, a title, a short description, and a timestamp.
- Paginated the same way as Import Sessions (First/Back/Next/Last, Page box, Entries per page: 5/10/20/50/100, default 5).
- If nothing has happened yet, it shows "No recent activity — Start your first import session."
Mapping Templates
Lets you browse, review, and manage saved column-mapping templates (the same templates you can save and apply from Step 3 of the Import Wizard).
- A dropdown lets you jump straight to any saved template by name.
- A navigation bar shows your position (e.g. "Template 2 of 5") with ◀ Back / Next ▶ buttons and a Go box to jump to a template by number.
- The selected template's details are shown: Name, Description, Format (file type it was built for), and Field Count (how many fields it maps).
- View / Edit opens the Edit Mapping Template window (see below).
- Delete permanently removes the template (with a confirmation prompt first).
- If no templates have been saved yet, the panel shows "No templates saved yet."
Editing a mapping template
Opened from View / Edit, this window lets you fine-tune a saved template without having to re-run an entire import:
- Template Name — rename the template.
- A list of every source CSV Column in the template, each with a Maps To dropdown so you can change which EBIS field it's mapped to.
- Delete Template — removes the template from this window as well.
- Cancel closes the window without saving.
- Save Changes writes your edits back to the template for future imports.
Quick Actions
A shortcut panel with Import CSV and Import Excel buttons — the same actions as the header buttons, for quick access alongside the other Data Studio panels.
Sales Pipeline (CRM)
The Sales Pipeline is a Kanban-style board of your open opportunities, grouped into columns by Pipeline Stage.
- Summary strip: five tiles across the top show Open Opportunities (count), Pipeline Value (total estimated value of open deals), Weighted Pipeline (value adjusted by each deal's probability), Won Value, and Lost Value — a quick read on the health of the whole pipeline before you scroll into any column.
- Filters: a search box (searches opportunity name, business, type, or owner), plus Owner and Type dropdowns; Clear Filters resets both. Click Refresh Pipeline to reload the board with current data.
- Stage columns: each column header shows the stage name, a count badge, the column's total value, and its weighted value. Columns can be scrolled horizontally if you have many stages.
- Opportunity cards: each card shows the business name, opportunity name, estimated value, a color-coded probability badge (red under 40%, orange 40–80%, green 80% and above — so you can judge deal strength at a glance without opening the card), the assigned owner, and the expected close date.
- Working with cards: drag a card to another column to move it to a new stage, or select a card and press Enter or F2 to open it in the editor. A status bar at the bottom of the page reports the last action or load result.
Opportunity Editor
Opened from the Sales Pipeline board (new opportunity, or Enter/F2 on an existing card). A compact form titled New Opportunity (or the opportunity's name when editing), with the subtitle "Track value, probability, ownership, and expected close date."
- Fields: Opportunity Name (required), Type, Assigned User, Pipeline Stage, Status, Estimated Value, Probability (%), Expected Close Date, Stage Change Note, Description, and Internal Notes.
- Open Business Profile button jumps straight to the related business record without losing your edits.
- Save Opportunity commits changes (or creates the opportunity); Cancel (or the ✕ in the corner) discards them.
Smart Lists
What it is
Smart Lists (Businesses → Smart Lists) let you build a saved, reusable, rule-based filter over your business database. Unlike a one-time search, a Smart List is a named definition that you can revisit and re-run at any time — the results always reflect your current data (e.g., "Ontario prospects with no contact in 30 days" will show different businesses each time you run it as records change).
Similar to Advanced Segmentation, but meant for lists you'll re-run repeatedly. Pin your most-used lists to the top — pinned lists also show up directly in the Command Palette (Ctrl+K).
Layout
The screen has three resizable panels (drag the thin dividers between them to trade width):
- Saved Smart Lists — the list of everything you've created.
- List Definition — the name, description, and filter criteria for whichever list is selected.
- Matching Businesses — the results of previewing or running the selected list.
Working with saved lists (left panel)
- Each saved list shows its name, description, and how many results it returned the last time it ran (Results: N).
- A ★ star marks a pinned list.
- Select a list to load it into the List Definition panel.
- Pin/unpin — the button toggles between pinning and unpinning the selected list.
- Duplicate — makes a copy of the selected list so you can tweak the filters without altering the original.
- Delete Selected — permanently removes the selected list.
Creating or editing a list definition (middle panel)
- Click New List (top-right of the page) to start a blank definition, or select an existing list to edit it.
- Fill in:
- Name and Description
- Pin this Smart List checkbox — pins it as you save
- Set your filters. Available filter fields:
- Search all fields... (free-text search across the record)
- Province, City, Postal Code, Category
- Industry, Business Status, CRM Status
- Country, Contact Person
- Mobile No., Fax No.
- Other 1, Other 2, Other 3 (custom fields)
- Website, Email, Phone — each has a requirement dropdown (e.g., filter to businesses that have or are missing that item)
- Social Media — YouTube, Facebook, WhatsApp, Instagram, X (Twitter), LinkedIn, TikTok, WeChat, Threads
- Minimum Opportunity Value
- Created From / Created To (date range)
- Click Preview to see matching results without saving, or Save List to save the definition for later.
- Click Run Saved List to execute the saved list and populate the Matching Businesses panel.
Matching Businesses (right panel)
- The RESULTS counter at the top of the page shows the total count returned.
- The grid shows: Business, City, Province, Category, CRM, Phone, Email, Website.
- Double-click, Enter, or F2 on a row opens that business's profile. You can also select a row and click Open Profile.
- Export menu → Export to CSV or Export to Excel — exports the currently loaded results.
- The list shows one page at a time. Use the pager underneath: First, Previous, Next, Last, Go to page, and Rows per page (10, 25, 50, 100, 250 or 500; 25 to start). A line below shows which rows you are looking at, for example "Showing 1–25 of 5,000". Export always covers every loaded business, not just the page on screen.
- Load More: if there are more matches than were loaded on the first page (a message shows "N businesses match this filter — only M are loaded so far"), click Load More to page in the next batch rather than being stuck with a partial result set.
Email Center
What it is
Email Center (Businesses → Email Center) is where you build a recipient list and send a templated, personalized email campaign — using merge fields to automatically fill in each recipient's business details. It has three tabs: Compose, History, and Suppression List.
Sending relies on the SMTP server credentials configured in Settings → Outgoing Email (SMTP). If that isn't configured, campaigns cannot be sent. See Setting Up Outgoing Email (SMTP) for provider-by-provider steps.
Open tracking runs automatically for any install with an active EBIS-Pro license — there's nothing to turn on or configure, and results sync on their own. It records only that and when a recipient opened an email, never their location.
Compose tab
Building the recipient list
- Add from Smart List: pick a saved Smart List from the dropdown and click Add Smart List Results to add everyone it currently matches to your recipients.
- Alternatively, go to Business Explorer, select rows, and use Send Bulk Email... to bring them into a campaign here.
- The Recipients list shows each business's name and email; click Remove next to any entry to drop it, or Clear All to start over.
- The RECIPIENTS counter at the top of the page always reflects the current list size.
- New Campaign clears everything and starts fresh.
Composing the message
- Enter a Campaign Name (internal label) and Subject.
- Insert merge field: click any of the token buttons to insert it into Body (HTML) at your cursor position (if you've selected some text, the field replaces it). If you haven't clicked into the body yet, the field is added at the end. To use a merge field in the Subject, type the token there directly. Available merge fields:

- Write the Body (HTML) directly in the text box, or click Open in Editor for a larger, resizable pop-up editor.
- Options (checkboxes):
- Append compliance footer (sender info + unsubscribe instructions) — adds a standard footer to every email.
- Skip recipients who already received this template — only available once a template is selected/loaded; checks across all past campaigns sent from that template, not just this one.
- Only send/exclude recipients by Status and CRM Status — when checked, reveals a rule row: choose Include/Exclude, a business Status, and a CRM Status; this filter is applied on top of your full recipient list at send time.
- Save as Template: enter a name and click Save as Template to store the current subject/body for reuse. Reload a saved template from the Templates dropdown, or remove one with Delete Template.
Preview & Send panel
- Choose a recipient from the dropdown to preview exactly how the message will render for them (merge fields filled in).
- Subject preview and Body preview (rendered HTML, not raw code) update live; click Full Screen ⤢ to view the body preview larger.
- Check Recipients validates the current recipient list (e.g., missing/invalid emails, suppressed addresses) and shows a summary.
- Schedule for later: check the box to pick a date and time (hour/minute/AM-PM). Note: EBIS-Pro must be running at the scheduled time for the campaign to actually send.
- Click the send button (labeled Send or Schedule, depending on whether scheduling is enabled) to launch the campaign.
- While sending, a status card shows a progress bar and running count, with a Cancel Send button to stop mid-way.
The HTML Body Editor window
Opened via Open in Editor, this is a larger pop-up for editing the raw HTML body comfortably:
- Title: Edit Email Body (HTML), with the note "More room to work — changes are only applied when you click Save."
- A large, monospace text area for the HTML source.
- Cancel discards your edits in this window and closes it without affecting the Compose tab.
- Save applies your changes back into the Body field and closes the editor.
History tab
- Campaigns list (left): search by name, subject, business, or email; filter by Type; filter by a Sent date range (from/to).
- Each campaign entry shows its name, status, and a summary line: "Status • N sent, N failed, N skipped", plus its created date.
- A Cancel link appears on campaigns that are Scheduled or still a Draft.
- A Reschedule link appears on campaigns that were Cancelled.
- A scheduled campaign also shows "Scheduled for [date/time]."
- Recipient Detail (right): select a campaign to see its per-recipient results — Business, Email, Status, Sent At, Opens, Last Opened, and Error (if delivery failed). Open tracking records that and when an email was opened only — no location data is collected.
- Open tracking syncs automatically. Shortly after EBIS-Pro starts, and then every 10 minutes while it's open, new opens (how many times, and when, each recipient opened the email) are pulled from the tracking service and the History tab updates on its own.
- Sync Opens checks for new opens right away, if you don't want to wait for the next automatic sync.
Suppression List tab
- Purpose: "Addresses here are automatically skipped on every future send, regardless of which Smart List or selection they come from." — use it for people who've opted out or whose emails have bounced.
- To add an entry: type an Email, optionally a Reason, and click Add.
- The grid lists every suppressed address with its Reason and Added date; click Remove to take an address off the suppression list (it will then be eligible to receive future campaigns again).
Advanced Segmentation
What it is
Advanced Segmentation (Businesses → Advanced Segmentation) is a more powerful, one-off filter builder: it lets you combine multiple rule groups joined by AND/OR logic across almost any business field, rather than the fixed filter fields in Smart Lists. Like Smart Lists, segments can be saved, pinned, and re-run, but the rule-group builder gives you finer control (e.g., "(Province = ON OR Province = QC) AND CreatedAt is after Jan 1").
Layout
- Saved Segments (left) — your saved segment definitions.
- Builder (right) — segment name/description, the rule grid, and the results grid, split by a drag-to-resize divider so you can give more room to whichever table you're working with.
Saved Segments (left panel)
- Each entry shows name, description, and last result count. A ★ marks a pinned segment.
- Pin/unpin button toggles pin state on the selected segment.
- Delete Segment permanently removes it.
Building a segment
- Click New to start blank, or select a saved segment to edit it.
- Enter a Segment Name and Description.
- Choose Join Groups With — the logical operator (AND/OR) used to combine your rule groups.
- Use the toolbar above the rules table:
- + Rule — adds a new rule row to the current group.
- + Group — starts a new rule group (its own Group number).
- Remove Rule — removes the selected rule row.
- For each rule row in the table, set:
- Group — the group number it belongs to.
- Rules Join — AND/OR, used to combine rules within that group. It applies to the whole group, so changing it on one rule changes it on every rule in that group.
- Field — the business field to filter on.
- Operator — one of: Equals, Not Equals, Contains, Not Contains, Starts With, Ends With, Is Empty, Is Not Empty, Greater Than, Greater Than or Equal, Less Than, Less Than or Equal, Between, On or After, On or Before.
- Value — the comparison value (disabled for operators like "Is Empty" that don't need one).
- Second Value — only used with the Between operator (defines the upper bound of the range).
- Click Save Segment to save the definition, or Run Segment to execute it immediately.
Matching Businesses (results area)
- Shows the matching count and execution time (how long the segment took to run).
- Export menu → Export to CSV or Export to Excel.
- Open Business button (or double-click/Enter on a row) opens the selected business's profile.
- Results grid columns: Business, City, Province, Postal Code, Category, Industry, CRM, Opportunity, Created.
- The list shows one page at a time. Use the pager underneath: First, Previous, Next, Last, Go to page, and Rows per page (10, 25, 50, 100, 250 or 500; 10 to start). - Load More: a run loads up to the number set in Settings → Segmentation Results Limit (5,000 by default). If more match (a message shows "N businesses match this segment — only M are loaded so far"), click Load More to load that many more.
Direct Mail
What it is
Direct Mail (Services → Direct Mail, also reachable via Ctrl+D) is a separate targeting and export tool for physical mail campaigns — it builds a mailing list (with full postal addresses) that you can export or print as address labels. It has its own search criteria, distinct from Business Explorer's and Smart Lists' filters, including matching by postal-code prefix (FSA). It has two tabs: Targeting and History.
Targeting tab
Filters panel
- Province, City
- Postal Code Prefix (e.g. FSA) — matches businesses whose postal code starts with what you type (e.g., an FSA like "M5V" to target a specific delivery area).
- Status and CRM Status dropdowns
- Industry and Category — type-ahead text fields that suggest existing values used elsewhere in your data as you type.
- Missing postal code only checkbox — isolates records that need a postal code before they can be mailed.
- Search runs the filter; Clear Filters resets all of the above.
- Alternatively, go to Business Explorer, select rows, and use Send Direct Mail... to bring them in directly.
Recipients panel
- The RECIPIENTS counter (top of page) and the local recipients list track how many businesses are currently loaded for this campaign.
- The list shows one page at a time. Use the pager underneath: First, Previous, Next, Last, Go to page, and Rows per page (10, 25, 50, 100, 250 or 500; 10 to start). A line below shows which rows you are looking at, for example "Showing 1–10 of 5,000". Labels and exports always use every recipient, not just the page on screen. Load More Matching still pages in the rest when the search stopped at the limit.
- A search loads up to the number set in Settings → Direct Mail Recipients Limit (1,000 by default).
- If your search matches more businesses than were loaded, a banner reads "N businesses match this filter — only M are loaded so far" with a Load More Matching button — each click pages in up to 25,000 more matching businesses.
- Each recipient row shows the business name and its address (address, city, province, postal code). Double-click, Enter, or F2 opens that business's profile.
- Remove drops a single recipient; Clear All empties the list.
- New Search (top of page) clears the current targeting session to start over.
Campaign panel
- Enter a Campaign Name.
- Choose a Label Sheet (e.g., Avery 5160 — 3×10 labels, 1"×2.625" each, on US Letter) — this determines the label layout used for printing.
- Include businesses already mailed on another campaign — check this to allow duplicates across campaigns; leave unchecked to avoid re-mailing the same business.
- Click Check Recipients to validate the list (e.g., missing addresses) and see a summary before exporting or printing.
- While the campaign is being generated, a progress bar and status text appear.
- Finish with one of:
- Export Mailing List (CSV)
- Export Mailing List (Excel)
- Print Labels — generates a printable label sheet using the selected label layout.
History tab
- Campaigns list (left): search by name or business; filter by a Run date range (from/to). Each entry shows its name, a summary line — "Status • N total, N printed, N exported, N skipped" — and its created date. Delete Campaign permanently removes a campaign from history.
- Recipient Detail (right): search recipients by business, address, city, or postal code. The grid shows Business, Address, City, Province, Postal Code, Status, Printed At, Exported At, Error.
- Re-export All and Reprint All let you regenerate the export file or label sheet for every recipient in the selected campaign without rebuilding the targeting from scratch.
Reports
The Reports page is a hub of nine analytical report tabs: Pipeline Velocity, Sales Rep Performance, Won/Lost Monthly Trend, Campaign Performance, Rep Productivity, Follow-up Compliance, Stale Businesses, Data Completeness, and Source & Channel Breakdown. Each tab loads its own data automatically when you click into it, so switching tabs always shows current numbers.
Every report tab shares the same building blocks, so once you know one, you know them all:
- Filter bar: a Date Range preset dropdown (with From/To date pickers that appear when a custom range is selected), a Refresh button, and Export CSV / Export Excel buttons that export the full result set (not just the visible page).
- Auto-Send Schedule: lets you have the report generated and emailed automatically as an Excel attachment, to the recipients configured under Settings → Report Email Recipients. You set a Frequency, plus a Day of Week or Day of Month (shown only when relevant), a Time of Day, and a Data Range for what period the auto-sent report should cover. Save Schedule stores the settings; Send Now emails the report immediately using the current filter settings.
- Add at least one address under Settings → Report Email Recipients before saving a Daily, Weekly or Monthly schedule. If none are set, Save Schedule doesn't save; it shows "Add report recipients first" explaining what to do. Add the recipients, save Settings, then come back and click Save Schedule again. (Setting Frequency to Off never needs recipients.)
- Recent Sends: a log of the last times the report was actually emailed out (scheduled or Send Now), showing when it was sent, who/what triggered it, delivery status, row count, recipients, and any error — so you can confirm a send actually went out rather than just trusting the schedule.
- Results grid: a sortable data table with First/Back/page-number/Next/Last paging controls underneath.
Pipeline Velocity
- What it answers: how long deals are sitting in their current stage and in the pipeline overall, so you can spot deals going stale.
- Sorting: deals stalled longest in their current stage are listed first.
- Columns: Business, Opportunity, Stage, Status, Value, Prob. %, Assigned, Days in Stage, Days in Pipeline, Stage Changes, Created.
- Tip: double-click a row (or Enter/F2) to jump straight into that opportunity.
Sales Rep Performance
- What it answers: open, won, and lost deals per assigned rep, with win rate — the outcomes side of rep performance.
- Sorting: reps ordered by won value, highest first.
- Columns: Assigned User, Open Deals, Open Value, Won Deals, Won Value, Lost Deals, Lost Value, Win Rate %.
Won/Lost Monthly Trend
- What it answers: actual won vs. lost deals by the month they closed (based on when a deal was actually marked won/lost, not when it was created).
- Sorting: oldest month first.
- Columns: Month, Won Deals, Won Value, Lost Deals, Lost Value, Win Rate %.
Campaign Performance
- What it answers: how each email marketing campaign performed — how many were sent, failed, or suppressed, and how many were opened.
- Sorting: most recent campaign first.
- Columns: Campaign, Status, Created, Recipients, Sent, Failed, Suppressed, Opened, Open Rate %.
- Tip: double-click a campaign (or Enter/F2) to drill into who it was sent to, what it said, and how many times each recipient opened it.
Rep Productivity
- What it answers: how much logged activity each rep produced in the period (calls, emails, meetings, notes, follow-ups, tasks, and opportunity updates) — the effort side that complements Sales Rep Performance's outcomes.
- Sorting: most active rep first.
- Columns: Rep, Calls, Emails, Meetings, Notes, Follow-ups, Tasks, Opportunity Updates, Won, Lost, Other, Total.
Follow-up Compliance
- What it answers: one row per owner covering every follow-up due in the period — how many were completed on time, completed late, still open, or overdue.
- Sorting: worst compliance (highest Overdue Rate) first.
- Columns: Owner, Total Due, On Time, Late, Open/Overdue, Open/Not Due, Overdue (Total), On-Time Rate, Overdue Rate, Completion Rate.
- Note: On-Time Rate is the share of follow-ups completed on or before their due date; Overdue Rate is the share that missed their due date, whether completed late or still open.
Stale Businesses
- What it answers: every business (created in the selected date range) with no logged activity for at least a chosen number of days — the account-level companion to the Dashboard's stalled-opportunity tracking.
- Extra filter: a Stale After (Days) dropdown that sets the idle threshold used to flag a business. (Scheduled/background sends always use the default 30-day threshold, since there's no saved custom threshold for those.)
- Sorting: longest-idle businesses first.
- Columns: Business Name, City, Province, Source, CRM Status, Last Activity, Last Activity Type, Days Idle, Created.
Data Completeness
- What it answers: which businesses in the period are missing email and/or phone — businesses with both on file are excluded entirely (the summary line reports how many were excluded).
- Sorting: worst (most missing fields) first.
- Columns: Business Name, City, Province, Source, Missing Fields, Missing Count, Created.
Source & Channel Breakdown
- What it answers: where businesses in the period came from — manual entry, bulk import, or unattributed legacy records — and how complete each channel's data is.
- Columns: Channel, Businesses, % of Total, % With Email, % With Phone, Source File (which import file the records came from, for Bulk Import rows).
Data Export
Data Export is a dedicated export tool for pulling entire datasets out of EBIS-Pro as CSV or Excel files — separate from the small Export buttons found on individual pages (like Business Explorer or Smart Lists), which only export whatever is currently on screen.
Getting there: Open the Data Export page (also reachable via the Command Palette or Ctrl+X).
What's on the screen
- Dataset dropdown — choose what to export: Businesses, Opportunities, or Activities/Timeline.
- Date range section — appears only when the Activities/Timeline dataset is selected. Labeled "Date range (optional -- leave blank for all activity)," with:
- From date picker
- To date picker
- Leaving both blank exports the full activity history with no date filtering.
- Preview Count button — runs a quick count of how many records match your current dataset/date selection, without exporting anything, so you can sanity-check the export size before committing to a full file.
- Export to CSV button — exports the selected dataset (and date range, if applicable) to a CSV file.
- Export to Excel button — exports the same data to an Excel (.xlsx) file.
- A status message below the buttons reports progress and where the exported file was saved.
How to use it
- Choose a Dataset: Businesses, Opportunities, or Activities/Timeline.
- If you chose Activities/Timeline, optionally set a From and To date to limit the export to a specific period; leave both blank to export everything.
- Click Preview Count to see how many records will be included before exporting — useful for checking your filters are correct.
- Click Export to CSV or Export to Excel depending on the file format you need.
- Check the status message for confirmation and the export location.
Settings
The Settings page is where you configure how EBIS-Pro behaves on this computer — company information, email sending, backups, appearance, and more. Open it from the main navigation (or Ctrl+Shift+K). A "Jump to:" dropdown at the top of the page lets you jump straight to any section without scrolling.
Each area of Settings is organized into its own card. Most cards have their own Save button — changes in one card do not affect the others, and nothing is saved until you click that card's Save (or equivalent) button.
Application Settings
Basic identifying information for this installation.
- Company Name — The name used to identify this organization throughout the app (for example, in reports and exports).
- Database Path — A read-only field showing where this installation's database file lives on disk. You cannot edit this field directly; it's shown for reference (for example, when troubleshooting with support).
Known limitation: single-user, local data. This database lives only on this computer, under this Windows user's own profile. Installing EBIS-Pro on another computer (or for another Windows user) creates a separate, unconnected copy — there is no shared or networked data store, so people cannot work against the same live data from different computers at the same time.
License
Shows your current license and lets you activate a new key.
- The card header shows your edition and version and your current license status, with links to the Release notes and the License agreement (EULA) on our website.
- Below the status, a line shows which versions your license covers, for example "Covers EBIS-Pro version 3.x (and earlier)" or "Covers every version of EBIS-Pro."
- Upgrade available — Appears only when a paid upgrade to a newer major version of EBIS-Pro is on offer for your license. Click Upgrade...: EBIS-Pro copies your license key to the clipboard and opens the upgrade section of the buy page in your browser. Paste the key into License key, enter the email you bought it under, and complete the purchase. The upgrade and its price are for your own edition. Once paid, your existing key covers the new version; there's no new key to enter.
- License Key — A read-only field showing the license key currently activated on this machine. Useful for support calls or for copying the key when setting up another machine.
- Change License Key — A text box where you can paste a new or replacement license key.
- Activate — Applies the key you typed in "Change License Key," activating (or re-activating) the license. A status message below the button reports success or explains what went wrong (shown in a warning color if activation failed).
- Move to Another Computer... — Releases your license from this computer so you can activate it on a new one. See Moving to a New Computer for the full steps.
Outgoing Email (SMTP)
Configures the email account EBIS-Pro uses to send bulk email campaigns.
For step-by-step setup with Gmail, Yahoo, iCloud, Zoho, Microsoft 365, your own domain or a sending service, including how to create an app password, see Setting Up Outgoing Email (SMTP).
Credentials are encrypted on this machine and never leave it.
- SMTP Host — The mail server address (e.g.
smtp.office365.com,smtp.gmail.com,smtp.sendgrid.net). - Port — The SMTP server's port number.
- Use TLS/SSL — Check box to encrypt the connection to the mail server (recommended, and typically required by most providers).
- Username / Password — Your mail account credentials. If a password was previously saved, the password box is shown blank with a note: "A password is already saved. Leave blank to keep it." — you only need to type a new one if you want to change it.
- From Email / From Name — The sender address and display name recipients will see.
- Delay Between Sends (ms) — A pause, in milliseconds, inserted between each email in a bulk send. Higher values reduce the chance of the provider throttling or blocking bulk sends.
- Mailing Address — Your organization's physical mailing address. This is included in every bulk email's compliance footer, along with an unsubscribe instruction — most commercial email laws (e.g. CASL, CAN-SPAM) require this.
- Test Connection — Verifies EBIS-Pro can connect and authenticate with the SMTP server using the settings above, without sending a real campaign.
- Save — Saves the SMTP configuration. A status message appears below confirming the result.
Email Open Tracking
There's nothing to configure here anymore — open tracking runs automatically — shortly after EBIS-Pro starts and then every 10 minutes while it's open — for any installation with an active EBIS-Pro license. It records only that and when a recipient opened a bulk email you sent; it does not collect their location or any other information about the opener. You can review the results in Email Center → History (per-recipient opens) and the Campaign Performance report.
Time Zone
Controls how dates and times are displayed throughout EBIS-Pro.
Every timestamp in EBIS-Pro (email sent times, opens, activity dates) is stored as UTC and displayed converted to this time zone.
- A dropdown lists available time zones — select the one your office operates in.
- Save — Applies the selected time zone, with a status message confirming the change.
Startup Behavior
Choose what EBIS-Pro shows when you open it.
- Resume the last workspace I was viewing — The app reopens on whatever screen you had open when you last closed it.
- Always start on the Dashboard — The app always opens to the Dashboard, regardless of what you were last viewing.
- Save — Applies your chosen startup behavior.
CSV Import Size Limit
Controls the largest number of records a single CSV file is allowed to contain when importing businesses. Files with more records than this are rejected immediately, before any processing begins, with a message asking you to split the file into smaller batches.
Before raising this limit: A default of 10,000 exists because, on slower or older computers, comparing a very large incoming file against every existing business — then building a review card for each match — can take substantially longer than it feels like it should, to the point of the app appearing unresponsive for extended stretches. Raising this number does not make that comparison work faster; it only allows larger files through. A higher limit may be entirely fine on a fast, modern machine, but on older hardware it can mean long waits and temporary unresponsiveness during the comparison and review steps. If you're unsure, keep the default and split larger files into batches instead.
- Maximum records per import — The record-count ceiling for a single CSV import.
- Save — Applies the new limit.
Business Explorer Search Results Limit
Controls the most matches a single Business Explorer search returns at once. When a search hits this limit, the results panel shows the first this-many matches and says so explicitly, rather than presenting the limit as the true total — narrow your filters, or raise the limit here, to see more.
Before raising this limit: A default of 1,000 keeps very broad searches (few or no filters) fast. Raising it loads more rows into the results grid at once, which can make those broad searches noticeably slower, particularly on older or slower machines. The maximum allowed is 25,000.
- Maximum search results — The result-count ceiling for a single search.
- Save — Applies the new limit.
Smart List Results Limit
Controls the most matches a single Smart List preview or run returns at once. When a run hits this limit, the status message shows the first this-many matches and says so explicitly, rather than presenting the limit as the true total — narrow the Smart List's filters, or raise the limit here, to see more. This applies to every saved Smart List immediately, not just ones saved after changing it.
Before raising this limit: A default of 1,000 keeps very broad Smart Lists (few or no filters) fast. Raising it loads more rows at once, which can make those broad Smart Lists noticeably slower, particularly on older or slower machines. The maximum allowed is 25,000.
- Maximum Smart List results — The result-count ceiling for a single Smart List run.
- Save — Applies the new limit.
Segmentation Results Limit
Controls the most businesses a single Advanced Segmentation run loads into its Results at once. When a run hits this limit, a message says how many match in total, and Load More loads this many more each time.
Before raising this limit: A default of 5,000 keeps broad segments fast. Raising it loads more rows at once, which can make broad segments slower to run. The maximum allowed is 25,000.
- Maximum Segmentation results — The result-count ceiling for a single run.
- Save — Applies the new limit from the next run.
Direct Mail Recipients Limit
Controls the most recipients a single Direct Mail search loads at once. When a search hits this limit, a message says how many match in total, and Load More Matching pages in the rest. This limit is separate from the Business Explorer search limit.
Before raising this limit: A default of 1,000 keeps broad searches (few or no filters) fast. Raising it loads more recipients at once, which can make those searches slower. The maximum allowed is 25,000.
- Maximum Direct Mail recipients — The ceiling for a single search.
- Save — Applies the new limit from the next search.
Appearance
Choose a color theme for the whole app.
- A dropdown lists the available themes (Light, Dark, and EndorseOn Blue).
- Apply Theme — Switches the app's colors immediately — no restart needed.
Company Logo
Replaces the default EBIS-Pro icon at the top-left of the app with your own company logo.
- A preview box shows the current logo, or "No logo" if none is set.
- Choose Logo... — Opens a file picker to select an image to use as your logo.
- Remove Logo — Removes the current logo and reverts to the default EBIS-Pro icon. This option only appears once a logo is set.
Export Location
Controls where CSV and Excel exports are saved — used by Business Explorer, Segmentation, Smart Lists, and Data Export.
- The current export folder is displayed.
- Choose Folder... — Opens a folder picker to select a new default export location.
- Reset to Default — Reverts to the built-in default export folder (
Desktop\EBIS-Exports). Only appears once a custom folder is set.
Report Email Recipients
Controls who scheduled reports (from the Reports workspace) are emailed to, as an Excel attachment, whenever their schedule sends. This list is shared across every scheduled report.
- Recipient email addresses — Separate multiple addresses with a comma or semicolon.
- Save — Applies the recipient list.
If you clear the list completely, EBIS-Pro asks you to confirm before saving: with no recipients, scheduled reports have nowhere to go, so every Auto-Send Schedule is turned Off. Choose Cancel to keep the addresses you had. After adding recipients again, turn the schedules you want back on in the Reports workspace.
Backup & Restore
Manages database backups and restoring from a prior backup — plus, separately, a Full Backup/Restore that also covers everything a database-only backup leaves out.
Know the difference: "Backup Now" only covers the database. Businesses, CRM/opportunity data, notes, follow-ups, activity history, smart lists/segments, and user accounts all live in the database, so "Backup Now" and scheduled automatic backups cover all of that. They do not cover files that live separately on this computer: uploaded business documents (the Business Profile Docs tab), your company logo, or the app's local settings (preferences, outgoing email/SMTP configuration, report schedules). Use Full Backup below if you want those included too — for example before a major change, or when moving EBIS-Pro to a new computer.
Backup folder
- The current backup folder location is displayed.
- Choose Folder... — Opens a folder picker to select where backups are saved.
- Reset to Default — Reverts to the built-in default backup folder.
Automatic backups
- Automatically back up daily — Check box to enable a scheduled daily backup.
- Time of day (local time) — Set the Hour (0–23) and Minute (0–59) the daily backup should run.
- Save Backup Schedule — Applies the automatic backup schedule.
Scheduled automatic backups are always database-only (a "Backup Now" equivalent) — there's no automatic schedule for Full Backup, since it's meant as an occasional, deliberate action rather than a daily routine.
Manual backup
- Backup Now — Immediately creates a database-only backup in the configured backup folder, without waiting for the schedule.
Full Backup
- Full Backup... — Opens a save-file dialog and packages the database, uploaded business documents, and app settings (preferences, outgoing email, report schedules, company logo) into a single zip file.
- Your outgoing email password is never included, even encrypted — it's tied to this Windows user account specifically and wouldn't work after a restore anyway, so you'll simply need to re-enter it in Outgoing Email (SMTP) above after restoring a Full Backup.
Restore
Restoring replaces the current database with a backup file you choose. This is permanent and cannot be undone, and EBIS-Pro will close and reopen automatically to complete it.
- Restore from Backup... — Opens a file picker to choose a database backup file (
.db) to restore from. This is a destructive, irreversible action — only use it when you're certain you want to replace your current data. The app will restart automatically once the restore completes.
Full Restore
Restoring a Full Backup replaces the current database, uploaded documents, and app settings together. This is permanent and cannot be undone, and EBIS-Pro will close and reopen automatically to complete it.
- Restore Full Backup... — Opens a file picker to choose a Full Backup zip file to restore from. Everything added or changed since that backup was made — in the database, in uploaded documents, and in settings — is permanently lost. Once the app restarts, re-enter your outgoing email password in Outgoing Email (SMTP) above, since Full Backup never includes it.
Diagnostics
Helps you package troubleshooting information to send to support.
If something breaks, this packages up the recent application log files (plus your version and system info) into a single zip file so you can attach it to an email to support — no need to go hunting for the log files yourself.
- Send Diagnostics — Zips up the last 7 days of application log files, along with a small version/system-info manifest, into a single zip file. You'll be prompted to choose where to save it (defaulting to your Desktop), and once created, Windows Explorer opens with the zip file pre-selected so you can easily attach it to a support email.
Setting Up Outgoing Email (SMTP)
EBIS-Pro sends bulk email campaigns and scheduled reports through an email account you already have, using that account's SMTP (outgoing mail) server. This page explains how to connect common email providers, in Settings → Outgoing Email (SMTP).
Before you start: most providers no longer accept your normal sign-in password from other apps. Instead you create an app password, a separate password just for EBIS-Pro, from your account's security settings. The provider steps below explain where to find it.

Port 465 also works for every provider above that lists it. EBIS-Pro always uses a fully encrypted (SSL) connection on port 465. On port 587, Use TLS/SSL switches encryption on (STARTTLS), so leave it checked.
Connecting any provider, step by step
- Get the provider's SMTP details (from the table above or your provider's help pages), and create an app password if your provider needs one.
- In EBIS-Pro, open Settings and choose Outgoing Email (SMTP) from the Jump to list.
- Fill in:
- SMTP Host and Port — from the table above.
- Use TLS/SSL — checked.
- Username — almost always your full email address (e.g.
name@gmail.com). - Password — the app password (or your mailbox password, where the table says so). Copy and paste it; for Gmail you can leave out the spaces.
- From Email — the same address you're signing in with. Most providers reject or rewrite a different From address unless you've set it up as an alias with them.
- From Name — how your emails appear in the recipient's inbox, e.g. your business name.
- Mailing Address — your business's physical address, required in the footer of commercial emails by laws such as CASL and CAN-SPAM.
- Click Test Connection. EBIS-Pro connects and signs in to the server without sending anything. Fix any error it reports before going further (see Troubleshooting below).
- Click Save. The password is encrypted on this computer and never leaves it.
- Send a small test campaign to yourself from Email Center before sending to a real list.
Gmail (personal @gmail.com accounts)
- Turn on 2-Step Verification for your Google Account if it isn't already on (Google Account → Security). App passwords can't be created without it.
- Go to myaccount.google.com/apppasswords and sign in.
- Enter a name such as
EBIS-Proand click Create. Google shows a 16-character password once; copy it. - In EBIS-Pro: SMTP Host
smtp.gmail.com, Port587, Use TLS/SSL checked, Username your full Gmail address, Password the 16-character app password, From Email the same Gmail address.
If the App passwords page says the setting isn't available, your account either uses only security keys for 2-Step Verification or has Advanced Protection turned on. Both block app passwords.
Sending limits: a personal Gmail account can send to roughly 500 recipients a day. Going over that locks sending for up to 24 hours. For larger campaigns, use Google Workspace or a dedicated sending service (see below).
Google Workspace (Gmail with your own domain)
Settings are the same as personal Gmail (smtp.gmail.com, port 587, full work address as the username, an app password). Two differences:
- Your Workspace administrator controls whether app passwords are allowed. If you can't create one, ask them to allow it or to set up an SMTP relay for you.
- Limits are higher: about 2,000 messages a day on a paid account (500 a day on a trial).
Yahoo Mail
- Sign in to Yahoo and open Account Info → Account Security.
- Choose Generate app password (or Generate and manage app passwords), enter a name such as
EBIS-Pro, and click Generate. Copy the password shown. - In EBIS-Pro: SMTP Host
smtp.mail.yahoo.com, Port587(or465), Use TLS/SSL checked, Username your full Yahoo address, Password the app password, From Email the same Yahoo address.
Yahoo limits how much a personal account can send per day. It suits small campaigns, not large lists.
iCloud Mail
- Make sure two-factor authentication is on for your Apple Account.
- Sign in at account.apple.com, open Sign-In and Security → App-Specific Passwords, and create one named
EBIS-Pro. Copy it. - In EBIS-Pro: SMTP Host
smtp.mail.me.com, Port587, Use TLS/SSL checked, Username your full iCloud address (e.g.name@icloud.com), Password the app-specific password, From Email your iCloud address.
Zoho Mail
- Personal or free accounts: SMTP Host
smtp.zoho.com. Paid accounts on your own domain:smtppro.zoho.com. - Port
587(or465), Use TLS/SSL checked, Username your full Zoho address. - Password: your Zoho password, or an application-specific password if two-factor authentication is on (created from your Zoho account's security settings).
- From Email must match the account (or one of its aliases), or Zoho refuses to send ("relaying" error).
Zoho accounts in some regions use a regional server name. If yours signs in at a regional Zoho address, check Zoho's SMTP help page for the matching host.
Microsoft accounts
- Outlook.com, Hotmail, Live and MSN (personal accounts): not supported. Microsoft has switched off password-based sign-in for these accounts' SMTP servers and now requires a Microsoft sign-in flow (OAuth) that EBIS-Pro doesn't use, so Test Connection fails even with the right password. Use one of the other options on this page.
- Microsoft 365 (work or school accounts): SMTP Host
smtp.office365.com, Port587, Use TLS/SSL checked, Username your full work address. This only works if your Microsoft 365 administrator has SMTP AUTH turned on for your mailbox; it's off by default in many organizations.
Heads-up for Microsoft 365: Microsoft is retiring password-based SMTP sign-in. As of its latest published timeline, it will be switched off by default at the end of December 2026. Administrators can turn it back on for a while after that, until a final shutdown date Microsoft plans to announce in the second half of 2027. Organizations created from January 2027 can't use it at all. If your business relies on Microsoft 365, plan to move EBIS-Pro's sending to another option on this page.
Your own domain (web host or cPanel email)
If your business email is hosted with your website (e.g. info@yourbusiness.com on cPanel or a similar control panel), your host gives you the SMTP details. In cPanel they're under Email Accounts → Connect Devices.
- SMTP Host — usually
mail.yourdomain.com(use exactly what your host lists). - Port —
465(SSL) or587(STARTTLS); keep Use TLS/SSL checked. - Username — the full mailbox address. Password — that mailbox's password.
Hosting plans often limit emails per hour. If a large campaign starts failing partway through, raise Delay Between Sends or ask your host for their limit.
Dedicated sending services (for larger lists)
For regular campaigns to hundreds or thousands of recipients, a transactional or marketing email service is the most reliable choice. Examples are SendGrid, Brevo, Mailgun and Amazon SES. They're built for volume, handle deliverability, and give you SMTP details to paste into the same fields. For example, SendGrid uses SMTP Host smtp.sendgrid.net, Port 587, the literal word apikey as the Username, and an API key as the Password. Each service requires you to verify your domain or sender address before it will send.
Sending limits and Delay Between Sends
EBIS-Pro sends each recipient their own individual email, one after another. Delay Between Sends (ms) (default 750, at most about 80 emails a minute) spaces them out so providers are less likely to throttle or block you. With a free mailbox (Gmail, Yahoo, iCloud, Outlook-style providers), keep campaigns within the provider's daily limit. Consider raising the delay to 2,000–5,000 ms for anything over a hundred or so recipients.
Troubleshooting
- Authentication failed / 535 error / "Username and Password not accepted" — You're most likely using your normal password where an app password is required, or the app password was mistyped. Create a new app password and paste it. The username must be the full email address.
- Test Connection times out or can't connect — Check the host and port, and that Use TLS/SSL is checked for port 587. Some office networks, antivirus programs or internet providers block outgoing mail ports. Try the other port (465 instead of 587, or the reverse), or test from another network.
- Relaying denied / sender rejected — From Email doesn't match the account you signed in with. Use the same address, or add it as an alias with your provider first.
- Works for the first few emails, then fails — You've hit the provider's rate or daily limit. Raise Delay Between Sends, split the campaign, or move to a dedicated sending service.
- Worked before, fails now — The provider may have revoked the app password (for example after a password change or security review). Create a new one, enter it in Password, and click Save.
Note: Full Backup never includes your SMTP password. After restoring a Full Backup on a new computer, re-enter the password here and click Save.
Users
Manage who can sign in to EBIS-Pro and what they can access, and review the app's sign-in history. Typically an Admin-only area.
Users list
A table of all user accounts, showing:
- Username
- Full Name
- Role — either Admin or Rep
- Status — active or inactive
- Last Login — the most recent sign-in time
Actions: - Add User — Opens the user editor to create a new account. - Edit (per row) — Opens the user editor pre-filled with that user's details. - Delete (per row) — Permanently removes that user account. Shown in a warning color to signal it's a destructive action.
Adding or editing a user
Opens the Add User / Edit User window:
- Username (required) — The sign-in name. Cannot be changed once a user is created (the field is locked when editing an existing user).
- Full Name — The person's display name shown throughout the app (e.g. in the Users list and Login History).
- Role — Admin or Rep. New users default to Rep.
- Active (can sign in) — Check box controlling whether this account is allowed to sign in. New users are active by default. Unchecking this without deleting the account blocks sign-in while preserving their history.
- Password — For a new user, a password is required. For an existing user, leave it blank to keep their current password ("Leave blank to keep the current password."). Passwords must be at least 8 characters.
- Confirm Password — Must match the Password field exactly.
- Cancel — Closes without saving.
- Save User — Validates and saves the account. You'll see a warning if the username is missing, the password is missing (for a new user) or too short, the passwords don't match, or no role is selected.
Login History
A table of every sign-in and sign-out event, most recent first, showing When, Event, Username, and Full Name.
- Refresh — Reloads the history table with the latest events.
- Page size dropdown — Controls how many login history records are shown per page.
- Paging controls (First / Back / [page number] / Next / Last) — Navigate through the history when there are more records than fit on one page. You can also type a page number directly into the page box and press Enter to jump to it.
Tips & Troubleshooting
- Exports go to your configured export folder (Settings → Export Location); each export confirms the exact path once it finishes.
- A progress indicator appears during any operation that takes noticeable time — exports, bulk edits, imports. If the screen looks unresponsive during one of these, check for this overlay before assuming something's stuck.
- Enter or F2 (or double-click) works on every table with an Action column (Notes, Follow-ups, Docs) — same as clicking the row's own button.
- Esc closes the active dialog box.
- Every dialog in EBIS-Pro (Edit Follow-up, Edit Note, New Opportunity, Send Email, Bulk Edit, confirmation prompts, etc.) is draggable — click and hold its title bar to move it.
- If something in the app breaks or misbehaves, use Settings → Diagnostics → Send Diagnostics to package up the recent log files and your version/system info into a single zip file, ready to attach to a support email — no need to hunt through hidden folders for log files yourself.
- Database backups (Settings → Backup & Restore) are your safety net against data loss — consider turning on automatic daily backups if you haven't already, and periodically confirm your backup folder is somewhere that itself gets backed up (an external drive or cloud-synced folder), since EBIS-Pro's database lives only on this one computer.
